Claiming your cards

This is easy! Simply keep the W5 bureau supplied with SEVERAL 6" x 9" SASEs with first class postage and your call, one callsign per envelope, clearly printed in the upper left-hand corner of your envelopes. If you expect a large volume of cards, please include additional stamps along with your envelopes. Do not affix these to the envelopes, just send them so the sorter can use them to provide sufficent postage for the number of cards you get each month. If you want the sorter to wait until you have a certain amount of cards before sending, please note this number on your envelopes. Don't forget the extra postage. PLEASE send ONLY 6" x 9" clasp envelopes! Click here to view a proper SASE. Smaller size envelopes tend to get lost in the sorter's files and many DX cards are larger than will fit in a letter size envelope. Larger envelopes are especially difficult to file and require additional postage. If you prefer, we can make up envelopes for you with one unit of postage for 60 cents each (minimum of five). Make checks payable to "W5 Incoming Bureau" and mail to W5 Incoming Bureau, P.O. BOX 1060, Mounds, OK 74047. Please furnish printed or typed labels with your current address if you choose this option. Please do not send more than $6, this will purchase 10 envelopes with first class postage. Keeping more than that on file for one ham puts a burden on the sorter's filing system. PLEASE DO NOT SEND OR PURCHASE FEWER THAN TWO ENVELOPES.This practice just perpetuates a cycle of the sorter needing to notify you to send more. As long as you have envelopes on file with us we try to mail your cards to you whenever you have enough to be accommodated by the postage on your envelopes, i.e. 49 cents will cover 5-7 cards, 70 cents 12-15 and so on. Most sorters will not allow several months to pass without making a mailing to you if you have any cards at all. This is why you may receive an envelope with only 2 or 3 cards in it from time to time. Also, if you all of a sudden get a bunch of cards in and have only one unit of postage on your envelopes, don't be surprised to receive an envelope "postage due". Being a sorter is not an exact science, and we can't read your mind. Please communicate with us if you have questions or special requests. Our goal is to get your cards to you. Most bureau helpers spend an average of 8-12 hours a month (some much more) handling YOUR cards. Since most of us are avid DXers ourselves and have all spent a great deal of time and money trying to get cards from DX stations, we hate to destroy cards. However, it is not practical for us to keep cards around for years if we never hear anything from you. Bureau rules state that cards not claimed in 90 days will be destroyed. In reality, few sorters will do this, most of us will keep cards around for a year or more. BUT, a point is reached that we must destroy them. If we have sent several notices to you and not received a response, your cards are headed for "QSL Heaven".
